Overview
Folio Suite ("we", "our", "us") is a business management platform for wedding photographers. This policy describes what data we collect, how we use it, and your rights regarding that data.
Information We Collect
We collect the following categories of information:
- Account information. Name, email address, and profile photo provided through Google sign-in.
- Business information. Studio name, contact details, branding assets, and pricing packages you configure within the platform.
- Client data. Names, email addresses, wedding details, venue information, and other data you enter about your clients.
- Photos and media. Images and videos you upload to galleries, carousels, and pin generators.
- Financial data. Invoice amounts, payment records, and tip transactions. Payment card details are processed directly by Stripe and never stored on our servers.
- Usage data. Pages visited, features used, and general interaction patterns to improve the product.
How We Use Your Data
- To provide, maintain, and improve the Folio Suite platform.
- To process payments and generate invoices through Stripe.
- To store and deliver photos and media through our cloud storage.
- To generate AI-powered suggestions (carousel layouts, pin metadata, pose matching) using anonymized inputs.
- To send transactional emails (invoice notifications, gallery delivery, questionnaire requests).
- To authenticate your identity and secure your account.
Third-Party Services
We use the following third-party services to operate the platform:
- Google for authentication (OAuth sign-in).
- Stripe for payment processing. Subject to the Stripe Privacy Policy.
- Supabase for database and authentication infrastructure.
- Cloudflare for media storage and delivery.
- Anthropic for AI features (carousel generation, pin metadata). Only minimal, anonymized data is sent.
- Pinterest (optional) for publishing pins if you connect your account.
Data Storage and Security
Your data is stored on secure, encrypted infrastructure. Media files are stored with Cloudflare R2. Database records are hosted on Supabase with row-level security policies ensuring photographers can only access their own data. All connections use TLS encryption in transit.
Client Gallery Visitors
When your clients or guests view a shared gallery, we collect minimal data: IP address for rate limiting, and optional email if the visitor submits it for favorites or downloads. Gallery visitor data is not used for marketing and is not shared with third parties.
Cookies
We use essential cookies for authentication and session management. We do not use advertising or third-party tracking cookies.
Data Retention
Account data is retained while your account is active. If you delete your account, we remove your personal data, client records, and uploaded media within 30 days. Financial records may be retained longer as required by applicable tax and accounting laws.
Your Rights
You have the right to:
- Access and download the personal data we hold about you.
- Correct inaccurate data in your account.
- Delete your account and associated data.
- Export your client records and media.
- Withdraw consent for optional services (e.g., Pinterest integration).
Children's Privacy
Folio Suite is a business tool for professional photographers. We do not knowingly collect data from individuals under 16.
Changes to This Policy
We may update this policy from time to time. Material changes will be communicated through the platform or via email. Continued use after changes constitutes acceptance.
